Purchase Orders
Purchase orders (POs) let you track stock you have ordered from suppliers, from creation through to receiving.
Creating a Purchase Order
- Click Purchase Orders in the sidebar.
- Click New Purchase Order.
- Select a Supplier and a Destination Warehouse.
- Optionally set an Expected Delivery Date.
- Add line items - choose a product, enter the quantity, and optionally enter a unit cost.
- Click Create.
The PO is created in Draft status. You can edit or delete draft POs freely. A reference number (e.g. PO-A1B2C3D4) is generated automatically.
Sending to the Supplier
When the PO is ready, click Mark as Sent. The status changes to Sent and the PO is locked for editing. The sent date is recorded.
Receiving Stock
- On a sent or partially received PO, click Receive Items.
- Select the destination location within the warehouse.
- Enter the quantity received for each line item. The form shows ordered, already received, and outstanding quantities.
- Click Receive.
Stock levels are updated immediately. If some items are still outstanding, the PO moves to Partially Received. Once all items are fully received, the PO is automatically marked as Received.
PO Statuses
- Draft - editable, not yet sent
- Sent - locked, waiting for delivery
- Partially Received - some items received, more expected
- Received - all items received
- Cancelled - PO was cancelled
